Tipton County Email Account User Agreement

Email accounts are only provided to Tipton County employees whose job requires one. The email account can only be used for county business purposes and will be revoked if the requirements listed below are not followed. We have also listed some recommendations that will help you get the most benefit from your new email account.

Requirements

Tipton County email accounts should not be used for personal reasons. Personal uses include signing up for non-work related mailing lists. By using your Tiptonco.com email account on mailing lists or other online forms not related to work, you will increase the amount of spam emails received. Spam will use up your mailbox space, slow down your mail retrieval, make it more difficult to send attachments, and uses up bandwidth that costs the county money. If too much spam is being received, we will have to cancel your current email account and change your email address. If you want an email account for personal purposes, use a different provider. Free email providers such as hotmail.com or yahoo.com work fine for personal email.

It is your responsibility to keep your mailbox size below the maximum space allotted. Proper use of Outlook or Outlook Express will keep your mailbox well below the allotment. Click Here to see instructions.

Do not use your email account for any illegal or malicious purposes. Doing so will result in immediate revocation of your email account, and Tipton County will inform the proper authorities. While we do not monitor email on a regular basis, under court mandate Tipton County will take all necessary measures to retrieve sent and received emails.

Critical emails should be printed and saved as hard copy to protect against hardware failures that could eliminate your email history. Although email data loss is unlikely, it does happen, and Tipton County will not be responsible for lost data.

Recommendations

Since every email account costs the county money in server space and bandwidth, it is best to use an email client such as Microsoft Outlook or Microsoft Outlook Express to manage your email.

Check your email account frequently to make sure important messages are not getting blocked, and to keep your account size at a minimum.

Change your password if you believe your account has been compromised. Go to https://mymail.myregisteredsite.com to change your password.

Do not open attachments that you do not recognize, or from senders you do not know. These attachments are most likely computer viruses. Even though we will have anti-spam software installed on the email server, it will not stop all spam or viruses.
